What should a school IT report tell governors?
Governors may have little technical experience and still need to understand an IT decision. A useful report explains the school work affected, what has been checked and which choices need attention.

Begin with the school situation
Describe a few important issues through familiar jobs: lessons, attendance, office work or keeping school information protected.
Say when the information was checked and by whom. Make clear whether it covers the whole school or a smaller area.
Avoid opening with an unexplained score or a long list of components.
Separate facts from questions
A confirmed fault is different from a concern still awaiting IT investigation. Label both clearly.
For example, a report may confirm missing chargers in one trolley while the condition of another trolley remains unchecked. Governors should be able to see that limit.
Keep sensitive technical details and personal information in the approved restricted records. The report should include what governors need for their role.
Explain the choices and costs
If approval is needed, show the problem, reasonable options, total cost and deadline. Label quotes and estimates with their dates.
Ask IT to confirm which options are suitable. Explain the effect of waiting using the school's actual situation.
A governor should be able to ask why the recommended option is better without understanding every specification.
Show who will follow up
Name the person arranging each important action and when the next update is expected. Include decisions that remain with the head or trust under its agreed responsibilities.
After work is completed, report whether the intended task was tried and what happened. Leave unfinished items visible.
A short report can be enough when it answers these questions clearly. It should help governors understand the school's position and make the decision in front of them, rather than test their knowledge of IT language.
