A miniature IT colleague compares two plain tags for one laptop at a desk. Heading: “Find the laptop, find the right answer”. asitplan, audit strategise achieve.

How an out-of-date equipment list makes school work harder

The list says six laptops are in the trolley, but two moved classrooms last term. An inaccurate equipment list can make borrowing, repairs and buying harder. A small, regular check can give colleagues a better starting point.

Look at a familiar area

Choose one room, office or trolley. Compare the actual equipment with the school's existing list.

Use school labels to identify devices. Note where they are, whether required accessories are present and the date of the check.

Agree with IT how corrections should enter the central record. Another separate spreadsheet may make the next search more confusing.

Ask what happened to missing items

A laptop may be borrowed, awaiting repair or retired. Check the loan or repair record and speak to the relevant colleague.

Mark anything uncertain as needing a check. A guessed room number can send someone to the wrong place.

Follow the school's reporting process for suspected loss or theft, especially if personal information may be involved.

Connect the list to practical choices

The bursar might be asked to buy a laptop that is already available elsewhere. IT might need the label and location to arrange a repair.

Missing chargers can also change the picture. A device may be physically present while unusable for the next lesson.

Describe the actual effects rather than claiming an invented cost for every inaccurate record. Real examples give staff useful reasons to keep the list current.

Keep updates manageable

Record moves and returns as part of ordinary handovers. Choose who updates the list and where staff should send a correction.

Ask IT to check technical details and whether a spare is ready to use. Staff can help confirm locations and missing pieces without becoming responsible for technical verification.

A useful equipment list helps people find things and make better decisions. Its value comes from current, understandable information that colleagues can actually maintain.
